As a professional event planner, it would be practical to prepare a list of questions to ask your client in order to obtain as much information as possible. Helpful Information: As to location/venue, do not let your service providers put themselves or anyone else in a position to maneuver in an unsafe manner or area. Is it a professional setting, or a laid back atmosphere? What considerations should you make accordingly? Consider whether the event is a corporate event or a personal event – and think about the specific considerations each may require which differ from the other.Plus, your time and effort already expended in planning such an event is certainly worthy of a significant cancellation/termination fee. Service providers and venue are secured months (sometimes years!) in advance. That is not necessarily the case in event planning. Be aware that many folks believe cancellations can be made at the last minute as long as they give a few days’ notice.If no down payment money is being provided to you, be clear that the client will be billed for any payment you had to make to secure that provider. Be clear as to payment and what down payment money, if any, the client is giving to you to secure service providers.If not possible to meet in person, you can still do a video chat with a service like Zoom. This allows you to know a little about the client simply from an appearance aspect that might give clues to client preferences for the event.
